Digitalization of Equipment Maintenance Records: CMMS System Implementation

That Wednesday morning, during the routine morning meeting, several key figures from PM and RD were present, and the atmosphere was initially quite relaxed. However, when the duty assistant engineer displayed last week's machine Cpk report, a startling figure of 1.08 appeared on the screen, and the entire room fell silent instantly. What does a 1.08 mean? It's like seeing a car on the highway with a tire about to fall off, while the driver is asleep at the wheel. The boss's face instantly darkened, and he turned to me, asking, "Where are the last PM records for this machine? Was it followed up?" I thought to myself, "Damn it, who signed the last PM? The records are all in that thick binder; do they expect me to find it in one second? That's mission impossible."

What's the problem? Why does it take so long to find maintenance records?

In essence, the problem lies in "information opaqueness" and "time lag." Traditional equipment maintenance, from scheduling and execution to results, largely remains paper-based. Consider this: one machine might have several maintenance record books, from Daily Checks to Yearly Overhauls, with every step requiring manual filling, signing, and then filing. When a problem occurs, searching for "that one" relevant maintenance sheet among dozens or even hundreds of folders is like looking for a needle in a haystack; by then, it's too late.

Therefore, the key point is that when you need to quickly trace the history of a faulty piece of equipment, paper records are your biggest stumbling block. You simply cannot quickly ascertain who touched this machine in the past month, what adjustments were made, or which parts were replaced. This is not just an efficiency issue; it's a potential yield bomb.

How to actually do it? Connect data with a CMMS system

The CMMS system, full name Computerized Maintenance Management System, is simply a "computerized equipment maintenance management system." It integrates all maintenance-related information, from basic equipment data, maintenance scheduling, spare parts inventory, work order execution, to personnel management, into a single digital platform.

For example, after implementing CMMS, we created a digital profile for each machine.

  1. Equipment Registration: Scan in the machine's model, serial number, purchase date, warranty information, and even operation manuals.
  2. Maintenance Scheduling: The system automatically issues maintenance work orders based on set cycles (e.g., weekly, monthly, semi-annually).
  3. Work Order Execution: Engineers or technicians use tablets to directly select work orders in the system, fill in maintenance details, list replaced parts, and even upload photos as evidence.
  4. Anomaly Resolution: When a machine malfunctions, a repair request can be reported immediately in the system, linked to relevant historical maintenance records, allowing maintenance personnel to diagnose the problem faster.
  5. Data Analysis: The system automatically accumulates all data, allowing you to easily retrieve "average lifespan of a certain part," "failure frequency of a specific machine," or even "which shift has the best PM quality."

In other words, information that previously required flipping through several thick binders can now be seen at a glance with a few clicks on a computer or tablet. If that Cpk 1.08 machine from back then had a CMMS, I could probably have found out who performed the last PM and what they did in about a minute, then messaged them directly, instead of being grilled by the boss in the meeting.

The most common pitfall: Inertia and inaccuracy in data input

The biggest fear when implementing a CMMS system is "people." No matter how good the system is, if people are unwilling to diligently input data or merely go through the motions, it will be no different from the messy paper records. I remember when it was first implemented, a veteran technician simply "copy-pasted" old paper content into digital work orders, which didn't reflect the actual maintenance performed at all. I later discovered that a certain sensor had clearly been replaced, but the system still showed the old part serial number. This kind of "digitalization illusion" is more terrifying than no digitalization at all, because you think you have data, but the data is wrong.

So, frankly speaking, promoting CMMS involves not only the system itself but, more importantly, "process reengineering" and "personnel training." There will inevitably be a period of adjustment at first, with some complaining it's troublesome and others saying they're not used to it. But as long as you highlight the "convenience" and "benefits," showing everyone that digitalization can truly save tracing time and reduce anomaly occurrence rates, people will naturally get used to it.
